Ideas and demos / Receipt Logger
Photo in. Spreadsheet row out.
No more shoeboxes of faded receipts, or evenings typing them up for your accountant. Send a photo from your phone and it's in your spreadsheet before your phone is back in your pocket.
What happens, step by step
You send a photo of the receipt
From your phone, to your own private bot. Nobody else can send it receipts.
AI reads it
The supplier, date, what was bought, the VAT, the total, and the supplier’s VAT number if there is one.
It checks the reading
The total has to make sense, the VAT has to add up, and the date has to be believable. If anything looks wrong, nothing is saved and you’re asked to try again.
The photo is filed
Saved in your own online storage, such as Google Drive, OneDrive or Dropbox, named by date, supplier and amount, so you can always find it.
A row is added to your spreadsheet
In Google Sheets, Excel or similar: date, supplier, net, VAT and total, with a link to the photo. Ready for your accountant, or your tax return.
You get a reply
“Logged: Coastline Trade Supplies, 27 Oct 2026, £42.18 (VAT £7.03). Photo saved.” If it was hard to read, it says so and flags the row for you to check.
What it needs
- A phone with Telegram, or WhatsApp
- A spreadsheet, such as Google Sheets or Excel, or accounting software like Xero
- Somewhere online for the photos, such as Google Drive, OneDrive or Dropbox
- Nothing to install: we set it all up
Could suit you if
- You collect paper receipts and dread typing them up
- You want your books ready for your accountant every month, not every January
- You claim VAT back and need every receipt
Running costs
The AI reading costs well under a penny a receipt. Run it yourself, or we host it and look after it for you, from £39 a month.
